  • File clean, compliant claims. Submitted directly to HMRC Charities Online through iCHARMS, our gov.uk-listed Gift Aid software.

How Gift Aid works

Free money - that quietly leaks away.

For every £1 a UK taxpayer donates with a valid declaration, HMRC gives your charity an extra 25p - at no cost to the donor. Across the UK charity sector that's worth millions every year. But in practice, three leaks drain it:

Leak 01

The unticked box

Eligible taxpayers donate without a Gift Aid declaration - and 25p on every £1 stays with HMRC instead of reaching your cause.

Leak 02

Lapsed declarations

Declarations expire or lapse quietly. Claim on them and HMRC can claw the money back; miss them and you under-claim for years.

Leak 03

Records HMRC won't accept

Donations scattered across spreadsheets, in formats Charities Online rejects - so claims get delayed, reduced or never filed at all.

the Gift Aid equation

£1 donation plus a Gift Aid declaration equals £1.25 to your charity - HMRC adds 25p

the donor must

  • Be a UK taxpayer
  • Pay enough Income or Capital Gains Tax
  • Sign a valid Gift Aid declaration

your charity gets

  • +25% on every eligible donation
  • No extra cost to the donor
  • Backdated claims up to 4 years
What we do

We plug the leaks - end to end.

From the state your records are in today to a clean, submitted, audit-ready claim - we handle every step.

Data organisation

We structure years of donor and donation records so every eligible gift can be found, matched to a declaration and claimed.

Formatting

Records are standardised into the exact shape HMRC Charities Online expects - no rejected schedules, no re-work.

Cleaning

Duplicates, gaps and inconsistencies are removed, so you never claim on an ineligible donation or miss an eligible one.

Compliant database

Declarations, sources and dates are held in one audit-ready record inside iCHARMS - not scattered across spreadsheets.

GDPR & compliance

Every step meets GDPR and HMRC record-keeping rules, so your claim stands up to scrutiny if HMRC ever asks.

Submission & audit support

We submit directly to HMRC and stand behind the claim - including support through Gift Aid audits and enquiries.

See it in action

How we process your Gift Aid - the HMRC way.

Five steps, from the moment a donation lands to the moment HMRC pays. These are real screens from iCHARMS - the same workflow we run for every charity we serve.

Step 1 of 5

Every gift lands against a donor record.

Online, cash, card, Direct Debit or call-centre - every donation is captured and reconciled, with the Gift Aid declaration stored alongside it.

  • Declarations stored with date, source and audit trail
  • Donations from every channel in one system
  • GDPR-compliant records from day one

Founder & CEO

Forensic Gift Aid recovery · 23+ years in charity finance

Over 23+ years, Khalid has led budgeting, audits and donor reporting for UK and international relief programmes - working alongside funders including the UN, WHO and DFID. A systems analyst by background, he designed bespoke charity IT systems long before iCHARMS.

His specialism is forensic Gift Aid: meticulous audits that surface the funds a charity is owed and recover them in full compliance with HMRC - including donations going back up to four years that were never claimed.

That expertise is what iCHARMS is built on. When you claim through this service, you're not buying a data-entry job - you're getting decades of HMRC-compliance judgement applied to your donations.

Most charities are leaving real money on the table. Our work is to find it - and protect every eligible penny.

Already claiming? Recover more.

Validate, protect and recover.

Even charities that already claim Gift Aid are usually owed more. Declarations lapse, records drift out of HMRC's format, and years of small donations go unclaimed. Our historic Gift Aid review goes back through your past donations to recover eligible funds - while tightening your records so future claims stay clean.

  • Backdated claims on eligible donations, up to four years
  • Lapsed and invalid declarations found and resolved
  • GASDS claims on small cash and contactless donations
  • Support through HMRC Gift Aid audits and enquiries

FAQ

Gift Aid questions.

Who can claim Gift Aid?
Registered UK charities and Community Amateur Sports Clubs (CASCs) can claim Gift Aid on eligible donations from UK taxpayers who have made a valid Gift Aid declaration. We help you confirm eligibility and put the declarations and records in place to claim in full.
How much extra is Gift Aid worth?
HMRC adds 25p for every eligible £1 donated - a 25% uplift on your donation income at no extra cost to the donor, provided they pay enough UK Income or Capital Gains Tax to cover the claim.
Can we claim Gift Aid on past donations?
Yes. HMRC allows claims on eligible donations going back up to four years. A core part of our forensic service is reviewing historic donations and recovering Gift Aid that was never claimed - provided valid declarations exist or can be obtained.
Do you handle the HMRC submission for us?
Yes. Claims are prepared and submitted directly to HMRC Charities Online through iCHARMS - no separate HMRC login, no spreadsheet uploads. We can run the claim as a managed service or train your team to do it.
What does it cost?
We keep our services affordable and quality-focused, especially for small and medium charities, and we work to a clear fixed-fee or retainer model quoted against your scope - the fee is agreed up front, with no surprises. Start with the free review and we'll set out the model in writing.
What is GASDS?
The Gift Aid Small Donations Scheme lets charities claim a Gift Aid-style top-up on small cash and contactless donations without a declaration, up to an annual limit. iCHARMS generates GASDS claims alongside standard Gift Aid.
Is iCHARMS recognised by HMRC?
Yes. iCHARMS is listed on the gov.uk Charities Online commercial software suppliers register - independent, third-party confirmation, not a claim we make about ourselves. You can verify the listing on gov.uk.
